What to expect when working with AmpleX.
Starting with a new financial team means handing over sensitive records and trusting a new process. Here's what that process actually looks like — your contact, how documents move, how often you hear from us, and who owns what.
Your Point of Contact
You'll have a primary point of contact for your engagement, with coverage in place so questions don't sit unanswered if that person is unavailable. Communication happens by phone and email, and we're reachable at the numbers listed throughout this site.
How Documents and Access Work
Most day-to-day work happens inside QuickBooks Online, which keeps document requests and financial activity in one place rather than scattered across email threads.
What We'll Ask For
Bank and credit card statements, payroll records, prior tax returns, and other supporting documents as needed to keep your books accurate.
Where It Lives
Primarily inside QuickBooks Online, so records stay connected to the books they support rather than living in a separate inbox.
How We Ask
Requests go out by phone or email, with enough context that you know exactly what's needed and why.
How Often You'll Hear From Us
Most ongoing bookkeeping engagements follow a recurring monthly schedule, with financial statements delivered as part of month-end close. The exact cadence and reports included depend on your specific service agreement, and we'll confirm that with you directly as part of onboarding — we won't promise a cadence here that isn't in your agreement.
What We Need From You
- ✓ Timely responses to document requests and questions
- ✓ Access to bank, credit card, and payroll records
- ✓ Letting us know about major transactions or changes early
- ✓ Reviewing financial reports, not just receiving them
If Your Needs Change
Businesses grow and needs shift. If your scope needs to change — more entities, added payroll complexity, a move from bookkeeping into Fractional CFO support — we'll discuss it together and agree on the change before any new work begins or billing changes.
You Own Your QuickBooks Records
Your QuickBooks Online data belongs to your business, not to us. If you ever need to leave or switch providers, your records go with you — see our guide to switching bookkeepers and keeping ownership of your records for how that works in practice.
How Tax Fits In
AmpleX Consultants handles bookkeeping, payroll, and financial strategy. Tax preparation and planning are delivered through our partnership with Hogberg Tax, led by Enrolled Agent Mike Hogberg. We coordinate with Hogberg Tax so your books and your tax filings stay connected, rather than operating as two disconnected processes.
Working With Us: Questions
What if I need something urgently?
Reach out by phone or email. Response times depend on the nature of the request and your service agreement — we'll be upfront about that during onboarding rather than promising a specific turnaround here.
Do I get full access to my own QuickBooks file?
Yes. The subscription and data belong to your business. Access levels for your team are set up as part of onboarding.
What happens during onboarding?
We review your current books and access, confirm the scope of the engagement, and get you set up on a reporting schedule — see our QuickBooks cleanup and catch-up page if your books need historical work first.
Who do I talk to about taxes?
Tax preparation and planning are handled by Hogberg Tax. We coordinate with them directly so you're not stuck relaying information between two separate providers.
Ready to see how this works for your business?
